Operating Instructions

Instructions for all the equipment and facilities in the hall are contained below.

If you are unsure of how to work something, please read the instructions.

All the equipment works well, and will not work any better if you pull or hit it harder…it will probably break!

In particular please note the following to avoid the most common breakages/damage:

  • Do not pull the top curtains in the main hall to open or shut them…use the ropes on the right side of each curtain.

  • Don’t drag chairs across the floor.

  • Switch off all internal and external lights when you leave..





Hot water in the kitchen and toilets is supplied by the boiler and may take up to 30 seconds to run hot when taps are turned on.


The gas boiler heats the radiators in the entrance hall and toilets and is programmed to come on when the hall is in use.


Press the light switch near the entrance door to turn on the lights. The lights in the toilets have a switch to the left as you walk in.


A ventilation fan will switch on and off at the same time as the lights. The flush for the urinals in the gents is automatic and the cistern will stop filling about 30 minutes after the last person leaves the room. Hot water in the toilets is supplied “on-demand” and will take 20-30 seconds to arrive at the tap.

The alarm will sound and the light will flash if the alarm cord is pulled. Pressing either the reset pad below the flashing light or on the control panel on the wall behind the bar will reset the alarm.



The light switch is located on the side right wall as you walk in


The heating is set on a timer and will be set for the duration of your hire period. The thermostat is on the wall close to the serving hatch for the bar. If you alter the thermostat please return to 21 degrees before you leave. If you wish to turn off the heating there are two indicator lights red and green and these will be lit when on. If you press the button the lights will go off and the heating will turn off.


The heating is always set for the duration of your booking.

However, should the heating not be on for any reason these notes should help you rectify the situation.

The thermostat for the main hall is on the far wall near the bar – it has a limiter on the dial so it cannot be set below 18°C and operates to a maximum of 25°C. Sometimes if the thermostat is too low then the heaters will not come on – so check this first. When the heating is on there are two lights which should be on. If you want to turn the heating off you can either turn the thermostat down to 18°C or you can press the green light and it will turn red and the heating will be turned off. To turn it back on simply press the buttons again until the green light comes on or turn up the thermostat and the heating should come back on.

If however, you have done this and there is still no heating – you need to go to the plant room upstairs. This is accessed via the small stairway at the rear of the building and at the top of the stairs, you will find the plant room with all the boilers in it. Walk to the rear of the boiler room and there is a White “Horsmann” timer control panel (similar to the one you might have for central heating at home but with more buttons on it). To put the heating on in the Main Hall you need to press the advance button under the Heating 1 option – the light will come on and the heating will be boosted for an hour, press the advance button twice and it will stay on for two hours, press it a third time and it will go off.

Please do not touch the boilers on the wall in the plant room – only use the heating timer control panel. Do not touch any of the fuses or electrical boards in the plant room.


In addition to the opening windows, there is a ventilation system. The switch is located on the left wall as you enter the hall storage cupboard.

Please do not forget to shut all the windows/doors when you leave.


Please do not pull the top curtains open or shut. There are cords on the right-hand side to operate these curtains.



Firstly switch on at the wall – there is a large on/off switch above the oven. The green indicator light will show the oven is powered on then set the oven to the temperature you require.


Simply switch on the wall behind the ovens and allow at least 30 mins for them to reach temperature.

HEATING (see page 5 of detailed instructions)

This is part of the main central heating system

EXTRACTOR FAN (see page 6 of detailed instructions)

The variable speed fan is operated by the buttons on the wall above the warming cupboard.


Hot water is provided from the gas boiler, it may take up to a minute to run hot when first used.


Instructions are on the wall.


Please use the extractor fan and windows. Remember to switch off the extractor and close windows before leaving.


There are rubbish bins provided together with black sacks – please put all rubbish in the main external wheelie bin before leaving.  The key to the bin can be found on the windowsill in the kitchen – please remember to return the key after use. Please take away any rubbish that cannot be fitted into the main bin.  The collection is Monday so please be aware of space for other users.

Glass bottles must be taken away with you together with any rubbish that won’t fit into the bins.



RCDs for the electrical sockets in the hall are in the cupboard at the top of the stairs to the right.

RCD’s can be reset if power to the sockets is lost, but you must stop using any equipment that causes any RCD.


If any Pavilion electrical equipment stops working do not try to repair it. Please report to the Maintenance Officer as soon as possible.


The hall will be left for you in a clean and tidy condition and this is how it should be returned to us ready for the next hirer to use.

We provide washing up liquid, cloths, tea towels and bin liners in the kitchen for your use.

Please ensure all tables are wiped down and dried (there is antibacterial spray provided in the kitchen), kitchen surfaces wiped clean and the floor swept or hoovered if necessary. If there are any spills you will find mops in the cleaning cupboard which is located directly opposite the kitchen.

In the cupboard are spare supplies of toilet rolls, tea towels, dustpan and brush etc should you require them?

All rubbish should be placed in bin liners and placed in the large grey industrial bin in the pavilion car park (the key to gain entry to the bin is on the kitchen windowsill – please ensure the key is put back !!).

Chairs should be stacked facing towards the rear wall – this is to enable the chair trolley to be used to lift out the chairs for the next hirer.

Round tables placed on the trolley – any that do not fit placed next to this. All buffet tables are to be placed upright and facing in one direction to prevent tables from falling onto the next hirer.
